An AI voice receptionist (also called an AI phone agent or voice agent) is software that answers your business phone, talks to the caller in natural speech, and gets things done: it books an appointment, moves or cancels one, answers a common question, or takes a message and routes it to a human. Unlike an old IVR phone tree, there is no 'press 1 for sales'. The caller just talks, and the agent understands and responds like a person would.

What an AI voice receptionist actually does

  • Answers every call 24/7, with no hold music and no missed calls after hours.
  • Books, reschedules and cancels appointments, and writes them straight to your calendar.
  • Answers frequent questions (opening hours, prices, location, services) from your own knowledge base.

How it works: the real-time speech pipeline

A voice agent is a streaming loop that runs on every call. Audio comes in over the phone network, gets transcribed as the caller speaks, is understood and acted on by a language model that can call tools (your calendar, CRM, knowledge base), and the answer is spoken back, all within about a second so the conversation feels natural. The hard engineering is not the AI model, it is the live phone transport, echo cancellation, barge-in (letting the caller interrupt), and keeping latency low.

  1. Telephony: the call arrives over a provider (for example Telnyx) and audio streams both ways in real time.
  2. Speech-to-text: a streaming recogniser transcribes the caller phrase by phrase, tuned for your language and for 8 kHz phone audio.
  3. The brain: a language model reads the intent and calls tools, checking availability, creating a booking, or looking up an answer.
  4. Text-to-speech: the reply is spoken back in a natural voice, streamed so the first words arrive fast.
  5. Actions: the booking lands in your calendar, a confirmation goes out by SMS or email, and the transcript is saved.

The single biggest quality factor is the speech-to-text on your language over a phone line. Many popular tools are excellent in English and noticeably weaker on Hungarian or other smaller languages, especially on noisy 8 kHz calls. Always test on real recordings in your language before you commit.

Build vs buy

Off-the-shelf platforms (a hosted voice-agent product) get you live in days and are the right call for a simple English-language front desk. A custom build takes longer but wins in three cases that matter for a lot of European businesses.

  • Language: you need a specific language done genuinely well (for example natural Hungarian on real phone calls), which the generic tools often do not nail.
  • Ownership and data: you want the code, the phone numbers and the customer data in your own accounts, with no vendor lock-in, which matters for GDPR and for a business you are building on top of.
  • Integration: you need it wired deep into your own systems (booking logic, dispatch, CRM), not just a shallow calendar link.

What it costs

A hosted, off-the-shelf agent is usually priced per minute of call time plus a subscription, which is cheap to start and scales with call volume. A custom, owned build is a fixed project cost for the first version plus a monthly operating fee (hosting and the speech and language providers, billed to your own accounts, plus support). The right shape depends on call volume and how much you value owning the system. As a rough anchor, the per-minute cost of a cloud voice stack is dominated by the telephony leg, not the AI, and a self-hosted setup trades that per-minute cost for a fixed compute cost while keeping data in the EU.
